Your Venue Checklist
Before you tour a single space, get clear on these essentials. They'll save you hours of comparing venues that were never going to work in the first place.
1. Guest Count and Layout Needs
Know your headcount range (not just the ideal number) and how you want the room set up. A venue that fits 200 people theater-style might only hold 120 for a seated dinner. Ask venues for capacity numbers by layout type.
2. Vendor Flexibility
Some venues require you to use their in-house caterer or approved vendor list. Others let you bring anyone. If you have a caterer or bartender you love, confirm vendor flexibility before falling in love with a space.
3. AV and Tech Infrastructure
For corporate events, this is critical. Ask specifically about internet speed (not just 'Wi-Fi available'), projection capabilities, and sound systems. Bringing your own AV to a venue that doesn't support it is an expensive headache.
4. Parking and Access
Boulder parking is notoriously challenging downtown. If your event draws guests from across the Front Range, free on-site parking is a major win. Also check load-in access for vendors and any setup/teardown time included in your rental.
5. What's Included vs. What's Extra
The sticker price rarely tells the whole story. Ask what's included: tables, chairs, linens, an event manager, cleanup? Venues that include staff and furniture in the base price often end up cheaper than 'affordable' venues where everything is an add-on.
